Auto Repair Payments: How UK Garages Get Paid Faster

How UK garages take card payments, send payment links and reduce the gap between finishing a job and getting paid.

Narcis Bujor4 min read

The fastest way for a UK garage to improve cash flow is to collect payment when the car leaves, not three weeks later. Most workshops finish the work on time and invoice late, creating a gap that costs real money in a business with thin margins.

This guide covers how to close that gap: taking payment on the day, offering the methods customers expect, and automating the parts that slow you down.

The payment gap in UK garages

The typical payment delay in a workshop is not the customer's fault. The job finishes at 4pm. The invoice is not typed until Friday. The customer gets it by email on Monday. They pay by bank transfer the following week. The garage waits 10 days for money it earned 10 days ago.

Every day of that gap costs the business. Parts suppliers want paying on 30-day terms. Staff wages come out monthly. The rent does not wait. A workshop turning over £300,000 a year with a 10-day payment delay has roughly £8,000 permanently sitting in unpaid invoices.

Same-day payment: how to make it happen

Issue the invoice when the job is done, not on Friday

The invoice should be generated from the job card when the work is complete, not typed from memory later. If the job card has the lines, the prices and the customer details, the invoice is one click, not a typing exercise.

Send a payment link with the invoice

A payment link is a URL the customer opens on their phone. They see the invoice, tap pay, enter their card details and the payment is processed. No card machine needed, no cash handling, no "I'll transfer it tonight".

Stripe processes these payments and deposits the funds in your bank account on the next business day. The customer gets a receipt, the invoice is marked paid, and the accounting package sees it automatically.

Take card payments at the counter

A card terminal at the front desk is the minimum. Contactless payments are now standard and most customers expect to be able to tap. The terminal connects to your payment processor and the funds arrive on the same schedule as a payment link.

Important: the Payment Services Regulations 2017 ban surcharges on consumer card payments. You cannot add a fee for paying by card. You can set a minimum transaction amount, though for a garage where the average invoice is well above any reasonable minimum, this rarely matters.

Offer bank transfer for trade accounts

Trade customers, fleet operators and local businesses may prefer to pay by bank transfer on account terms. That is normal for B2B relationships. Put your bank details on the invoice and set clear payment terms (14 or 30 days). For these customers, the statutory late payment interest rules apply if they pay late.

Payment methods compared

Method Speed to garage Customer experience Reconciliation
Payment link (Stripe) Next business day Tap link, pay on phone Automatic
Card terminal Next business day Tap or PIN at counter Automatic
Bank transfer Same day to 3 days Manual transfer Manual matching
Cash Immediate Simple Manual, needs banking
Cheque 2-6 business days Outdated Manual

Payment links and card terminals win on both speed and reconciliation. Cash is immediate but creates a reconciliation and banking burden. Cheques are effectively dead for consumer transactions and should be discouraged.

Automating payment collection

Manual invoicing followed by manual payment chasing is the most expensive way to get paid. The labour cost of typing invoices, sending reminders and reconciling payments against bank statements is real, even if it does not show up on a line item.

An integrated system works like this:

  1. The job card holds the lines and prices
  2. The invoice is generated from the job card when the work is complete
  3. The invoice is sent to the customer with a payment link
  4. The customer pays via the link
  5. The invoice is automatically marked as paid
  6. The payment syncs to Xero or QuickBooks

No typing, no chasing, no Friday evening invoice session. The garage gets paid on the day, the accountant sees the numbers without a data export, and the receptionist moves on to the next customer.

The lien: holding a car until the bill is paid

UK garages have a common law right to hold a vehicle until the repair bill is paid. This is called a lien. The AA notes that it is a powerful right that should be used carefully: garages holding vehicles in bad faith or for disputed unauthorised work can face legal action.

The lien works best as a deterrent rather than a tool. A customer who knows the car will not be released without payment is unlikely to dispute a bill they already approved. That approval, recorded on the job card with a timestamped link, is the evidence that prevents the dispute from starting.

Payments in Autera

Autera is garage management software with built-in payment processing through Stripe. Invoices include a payment link the customer taps on their phone. Payments arrive in your bank account the next business day. The invoice is marked paid automatically and syncs to Xero or QuickBooks.

Card payments at the counter work through Stripe Terminal. There is no separate merchant account to set up: connect your bank account to Stripe and start taking payments.

Plans start at £29 per month. See the pricing page or start free.

Common questions

Can a garage charge for work before collecting payment?

Yes. A garage can issue an invoice and require payment before releasing the vehicle. Garages have a common law right known as a lien: they can hold a vehicle until the repair bill is paid, though this must be used carefully and does not apply where the work was not authorised.

What payment methods should a UK garage offer?

At minimum, card payments (contactless and chip-and-PIN) and bank transfer. Payment links sent by text or email are increasingly expected. Cash is still common in smaller workshops but carries higher handling costs and reconciliation risk.

How long does it take for a Stripe payment to reach the garage?

Standard Stripe payouts arrive in your bank account on the next business day in the UK. Stripe also offers instant payouts for an additional fee if you need faster access to funds.

Can a garage add a surcharge for card payments?

No. The Payment Services Regulations 2017 ban surcharges on consumer debit and credit card payments in the UK. You cannot charge extra for paying by card, though you can set a minimum transaction amount.
